We’re looking for an Operations Coordinator

Storythings is looking for a Brighton-based Operations Coordinator to start as soon as possible supporting the Head of Production in running our day-to-day operations. This is a new role at Storythings and will be an initial six-month contract with the potential to extend. 

 

Salary: £27,000 pro rata

 

Hours: Part-time, 2.5 days a week/ 17.5 hours per week. These hours can be spread over a minimum of three days or across a full five day working week.

The role will suit someone who likes to work across multiple projects and tasks, and also takes pride in knowing their work helps support a busy company and colleagues.  

They will work across a number of areas including finance, HR, project admin and social media, handling invoice processing, developing contracts for new clients, helping to set up project folders and documents, creating freelancer contracts, and posting on our Twitter and LinkedIn accounts. You don’t need lots of experience in all of these areas – we will happily provide support and training where you need and would like it.  The most important thing is that you have worked for a couple of years in an office environment, and are keen to learn.

At the moment, our team is mainly working from home due to Covid-19, but we would ideally like to spend some time together in person in our Brighton office to introduce you to the role and so you can get to know us. 

Responsibilities

  • Helping set up new projects including creating project folders, project timeline and budget templates, account codes, invoicing schedules, generating any necessary paperwork, setting up comms channels, and making sure assets post project are properly filed and archived 
  • Preparing invoices and managing the monthly invoicing schedule, and processing invoices through Xero, the company’s accounting software  
  • Generating contracts for staff and freelancers and making sure contracts are up to date and reflect current employment law 
  • Assisting with the creation and management of systems such as a CRM and password manager 
  • Making sure our company handbook and policies are up to date
  • Supporting the company on its Certified B Corporation application 
  • Preparing paperwork for internal meetings such as the monthly Directors’ Board meeting
  • Developing, with support, a social media schedule for Storythings’ Twitter and LinkedIn and creating regular posts 
  • Supporting the team when needed on project work such as image sourcing and buying, researching specific areas of a project, or organising equipment purchase or hire

Experience and skills

  • At least two years experience working in an office environment 
  • Some experience of using project management and CRM tools such as Trello, Dropbox, Google Drive and Hub Spot – we will provide training where needed
  • A track record of creating tweets and posts and some knowledge of how to engage and build followers 
  • An ability to manage a busy workload and prioritise 
  • Excellent verbal and written communication skills 
  • Familiarity with accounting software would be a bonus but not essential, we will provide training
